Automate order taking in chat
Capture confirmed orders in customer conversations with server-checked catalogue prices, customer details and a clear handoff to your fulfilment team.
Move from a product question to a recorded order without asking your team to copy every detail from a message thread. The customer confirms the items, the server checks catalogue prices, and your team receives the record to fulfil.
The everyday problem
An order buried in a DM can lose its quantity, delivery address or agreed item. A price typed by a shopper or generated in an AI reply also needs checking before it becomes a recorded total.
How OctaDezx helps
OctaDezx records confirmed orders against the business catalogue, recalculates line prices on the server and keeps customer details alongside the conversation. Capturing the order is one step in fulfilment, not a payment or shipping confirmation.
From selected item to recorded order
- Clarify the item and quantity. Resolve which listed product the customer wants before confirmation. Record a requested size or colour as a detail, and ask your team to resolve ambiguous variants rather than promising variant stock.
- Recalculate prices server side. The order action resolves the item against the local business catalogue and recomputes its total. It does not accept the price or total written in a customer message as authoritative.
- Ask for explicit confirmation. The assistant summarizes the order and asks the shopper to agree before recording it. Train required fields, including address or contact details, for your own fulfilment workflow.
- Keep fulfilment details together. The order record can retain customer name, phone or email, shipping address and supplied details. Your dashboard and the original thread help staff review what was requested.
- Capture multiple listed items. An order can include several catalogue items and quantities. Product options remain details for team review where the catalogue does not represent a separate purchasable variant.
- Keep exceptions with a person. Use handoff rules for unknown products, bespoke pricing, returns and uncertain availability. A saved record should never be used as proof that an exception has been approved.
An order captured from a WhatsApp enquiry
Illustrative customer-initiated conversation. Product, price and outcome are examples, not observed sales results.
- 1. Customer selects. "I want two City Backpacks, one black and one blue." The assistant checks the listed product and clarifies the colour request.
- 2. Assistant summarizes. It gathers the details required by the store and summarizes the items and saved catalogue total. Colour requests are retained for the team to verify.
- 3. Customer confirms. After the shopper agrees, the server resolves the items and recalculates prices. An unknown catalogue item cannot simply become a confirmed priced line.
- 4. Team fulfils. The order appears in the dashboard. Staff review options, stock, payment and delivery before completing fulfilment. A captured order does not reserve inventory.
What capturing an order does not do
- Order capture does not collect payment, issue a payment authorization or complete a store checkout. Give the customer your actual payment process.
- The local product catalogue supplies prices. This does not guarantee current store inventory, variant-level pricing or a reservation of the chosen option.
- A cancellation request or custom order needs your policy and team review. Do not present a request as an already completed cancellation, refund or shipment.
Frequently asked questions
- Where does the order land? It is recorded in OctaDezx with the business and conversation reference. Your team uses the dashboard to review and fulfil it; this is not a guarantee that an external store checkout was created.
- Can customers pay inside the chat? This page describes order capture, not an embedded payment checkout. Configure and explain your own supported payment process separately.
- What if an item is out of stock? Keep stock information current and instruct the assistant to hand over unavailable or uncertain items. The server price check is not an inventory reservation mechanism.
- Can it take multi-item orders? Yes, the order action supports several listed items and quantities. Clarify each item and any requested option before confirmation.
- Can a customer cancel afterwards? The assistant can explain your saved policy and route the request. Your team must confirm whether a cancellation is possible and complete the relevant operational action.
