The everyday problem
"Where is my order?" can mean an expected dispatch date, a missing tracking link, a stalled parcel or an order placed under another email. These questions need different answers and different levels of verification.

A safer workflow for tracking requests
- Answer general delivery questions. Explain the delivery areas, dispatch policies and typical timelines you have saved. Label policy guidance as general information rather than the live status of a customer's parcel.
- Collect the order reference. Use your workflow to ask for the order reference and the contact information your team needs. Asking for those details is not itself identity verification.
- Bring store records to staff. Supported store imports create local order records with customer and order information. Staff can review those records after checking the request against your store's verification process.
- Escalate private lookups. Configure a handoff for order-specific tracking, missing parcels or mismatched details. Keep private order data inside the authorized staff workflow rather than inserting it into a generic knowledge source.
- Use the actual carrier information. Staff should share a carrier link only when it is present and appropriate for the verified customer. A delivery estimate from policy is not a live courier forecast.
- Handle exceptions deliberately. Lost shipments, address changes and refund requests require policy decisions. Record the request and let the responsible person approve the next action.

- 1. General timing. For "How long does delivery take?", answer from saved delivery policy and explain that the actual parcel may vary.
- 2. Specific order. For "Where is order 1234?", gather the relevant reference and route the conversation to the team for verification and lookup.
- 3. Details mismatch. A staff member who cannot match the request follows the store's verification policy. Do not disclose order contents, address or tracking simply because a reference was supplied.
- 4. Tracking exception. If the verified order has no updated tracking, staff can inspect the store and carrier record and communicate the next check. Do not invent a dispatch event or arrival date.
Current automation boundary
- An automatic order-number plus billing-email or phone verification flow is not currently exposed by the customer assistant. This page does not promise it.
- Imported orders are local records, not a real-time store or carrier lookup on every message. Review sync health and use the store when freshness matters.
- Carrier coverage, guest checkout and multi-parcel handling depend on your actual store records and fulfilment process. Do not assume a universal carrier connection.
Frequently asked questions
- Will the chatbot reveal an order after I type its number? The current assistant does not perform a verified autonomous order lookup. Configure the request as a human handoff, and have staff verify the customer before sharing private information.
- Which stores can supply order records? Shopify and WooCommerce connections support order imports. Check the integration setup and sync results before using those records for support.
- Can it handle guest orders? Staff can use the information available in your store's guest-order records, subject to your verification policy. Guest checkout does not remove the need to verify an order-specific request.
- What about several parcels? Use the actual fulfilment records and carrier links for each parcel. This page does not promise automated multi-parcel reconciliation.
- What if tracking has not updated? Route the issue to staff for a store or carrier check. The assistant can explain your saved escalation policy without inventing an updated shipment event.
