AI Appointment Scheduling
Capture appointment requests over WhatsApp, website chat, Instagram and phone calls. Collect customer details, review requests in your dashboard and enable outbound voice reminders.
The problem with traditional scheduling
Service businesses lose high-intent clients when booking requires endless back-and-forth messages, busy phone lines, or complex booking widget links that cause drop-offs.
What OctaDezx does instead
OctaDezx gives customers a booking desk in WhatsApp, website chat, Instagram DMs and phone calls. The agent collects the details and reads them back before filing an appointment request for your team to review.
A booking desk for busy service businesses
- Appointment requests in chat and over the phone. Customers request a booking without leaving the conversation. Customers share their preferred date, time and service in a text conversation or phone call. The request is filed for your team to check and confirm.
- Customer and service details together. Collects names, phone numbers, and service choices, then reads them back. The agent gathers the customer's name, contact details, requested service and preferred time, then reads back the details before filing the request.
- Optional outbound voice reminders. Enable reminder calls for confirmed appointments with a customer phone number. When outbound calling is enabled, confirmed appointments with a phone number can queue a reminder call around 24 hours before the visit. Calls follow your calling window, opt-out list and voice allowance.
- Review requests in your dashboard. Every appointment appears in your dashboard with customer history attached. See the requested time, service, customer contact and booking notes in one place. Your team explicitly confirms, completes or cancels each appointment.
- Business booking guidance. Set your services, working hours, timezone and booking instructions. Give the assistant the services you offer and the details to collect. Chat uses your configured booking guidance; your team verifies availability before confirming a request.
Frequently asked questions
- Does the AI check whether a requested time slot is open? Chat uses the working hours, services and slot length you configure to guide the request. It does not check calendar conflicts or synchronise an external calendar. Your team reviews availability and confirms the appointment in the dashboard.
- How do we handle changes or cancellations? Your team can cancel an appointment in the dashboard. An owner can also use the MCP appointment tools to change its time or status. Customer chat does not automatically look up and reschedule an existing booking, so route those requests to your team.
- Does appointment scheduling work over phone calls as well as chat? Yes. The phone agent collects the caller's name, preferred date and time, requested service and notes, then files an appointment request in the dashboard. Your team checks availability and confirms it.
- Can we collect custom intake notes during booking? Yes. Add plain language booking guidance for chat, and voice instructions for phone calls, to ask for details such as a vehicle make and model or the reason for the visit. Review the captured notes with the request.
- What types of businesses use OctaDezx for scheduling? Clinics, dental offices, beauty salons, barbershops, wellness spas, repair services, consulting firms, law offices, and real estate agencies.
- How are we notified when a new appointment is booked? Requests appear in your dashboard with customer details and notes. Chat requests also send the owner an email notification. You can review requests alongside the conversation they came from.
